How does a principal create an observation report and send it to the teacher?

Background:

If the principal has completed the observation cycle for a teacher, s/he can create and share an observation report with pertinent data about that observation cycle. The data can that can be included in the report depends on three factors:

  1. The default settings for the observation reports that were configured by the district's District Administrator of eVAL.
  2. The District Administrator's setting that allows (or doesn't allow) a principal to over-ride the district default settings.
  3. The settings configured by the evaluating principal.

This article covers a principal's steps to create and share an observation report with a teacher, and assumes that the District Administrator of eVAL has elected to allow a principal to over-ride the district's default settings for observation reports.

Follow these steps:

Enter the Observation module for this teacher's observation cycle.  Click on the Report tab at the top.

Click on the button in the top right corner that says Show Report Settings. Once it is clicked, two things will happen:

  1. The button will toggle to say Hide Report Settings.
  2. The default settings (set by the District Administrator of eVAL) will be displayed, and the green button called Use Default Settings will be selected.

If you wish to override the default settings for the observation report, click on the button that says Override Default Settings. Two things will happen:

  1. The button will turn green, and ...
  2. You can select and de-select any of the options listed in the gray Settings section of the page.

As you configure the settings for the observation report, the changes to the online report will dynamically take place further down on the page.

Once you have configured the report as you wish, you can do one of two things:

  1. Create a PDF of the report, or...
  2. Send the final report to the teacher.

In the sample below, we are going to send the final report to the teacher. (But you can always come back and create a PDF of the report.)

When you click on Send Final Report (above), a drop down window will temporarily appear on your screen. Read the information, and then confirm your decision to send the final version to the teacher by clicking on the green button that says Yes, send final version.

  1. A blue notification will appear above the tab bar, reminding you about the status of this report.
  2. At this point, there are two methods of marking this observation as complete. The first method is for the principal to click the green button called Mark as Complete, which appears at the right end of the tab bar. The second method (not shown below but described in the next article in this chapter), is for the teacher to respond to the principal when s/he next signs into eVAL and sees the report. Both methods will mark this observation cycle as complete, and it is a district decision about the best or recommended method to use.

Once an observation is marked as complete (by using one of the two methods described above), the principal will see the following blue notification above his/her tab bar. The only way to unlock the observation report so that further changes can be made is to rclick on the green Request Unlock button to request an unlock from the teacher.
