How does a principal add an artifact and link it to an observation?

Background:

While some framework authors suggest that observation scripting is the only evidence that should be collected, others are open to collecting evidence through additional artifacts. This article will explain how to add an artifact and connect it to an observation.

Adding an artifact and connecting it to an observation:

There is an Artifacts tab in the Observations module, but it is not a place where you can add an artifact. Rather, it is simply a place that displays artifacts that have been connected to this observation.

To add an artifact to an observation, click on the Artifacts menu on the left. The green marker will appear to the left of the menu, indicating that the Artifacts menu is active.

In the Artifacts work space, click on the green button called Add Artifact.

On the next part of the screen, there will be two sections. The section on the left is where you make your selections to add and edit the artifact, and connect it to the Observation. The small section on the right is the Artifact Creation Checklist, which will monitor your progress in adding an artifact and connecting it to an observation.

  1. Consider the artifact that you are adding, and give it a descriptive title.
  2. Consider the type of artifact that you are adding (file vs. web site vs. a description of a professional practice), and click on the pertinent green button on the left side of the window. For the purpose of this tutorial, we will use the green button that says Add File.

In the next screen, you'll see that you're given lots of options for locating your artifact. Most of the icons down the left edge of the dialog box represent social media icons, and maybe your artifact is stored in one of those places. If it is, click on the appropriate social media icon. Otherwise, if your artifact is stored on your local hard drive or on a connected server, click on the big blue button in the middle of the screen that says Choose a local file.

Once you find and double click on your artifact that resides on your local hard drive or server:

  1. Its name will appear in the section on the left entitled Attached items.
  2. At this point, you are done uploading and editing your artifact. Click on the green Done button.

When the green Done button above was clicked, two things happened. First, the Artifact Creation Checklist on the right side of your screen checked off the step for attaching an item. (See the first image below.) Secondly, it opened up a new, dark gray section of the screen called Rubric Component Alignment that allows you to align the artifact with your instructional framework. (See the second image below.)

In the image above, you see the framework at the dimension/domain level. To drill down to the component level, click on a dimension/domain where the specific component for the artifact resides.

  1. In the example below, the dimension for Classroom Environment &  Culture was clicked on to reveal its components.
  2. Then, since the artifact is pertinent to several components, several of them were selected (by clicking on them). Notice that there are green markers to the left and green checkmarks to the right of each component that was selected.

When the artifact has been aligned to the framework, return to the top of the Rubric Component Alignment section and click on the green Done button.

When the green Done button above was clicked, again, two things happened. First, the Artifact Creation Checklist on the right side of your screen checked off the second step for aligning the artifact to the rubric. (See the first image below.) Secondly, it opened up another new, dark gray section of the screen called Connect to Observations/Self-Assessments. (See the second image below.)

To drill down and select the specific observation to link an artifact to, click on the line that says Observations. This will reveal all of the observations that are in progress.

  1. Click on the observation that you want to connect this artifact to. You'll notice that a green marker will appear to the left of the selected observation, and a green checkmark will appear to the right.
  2. Click on the green Done button.

If you want to provide a reson for your alignment choice in the field that appears at the bottom of your work space, type it in.

You'll notice some changes in the Artifact Creation Checklist section:

  1. This step has been checked off as complete.
  2. You are ready to share the artifact with the Observation module, so click on the green Share Artifact button.

Once you click on the green Share Artifact button (above), you'll return to the Artifacts menu for this teacher, and the artifact will be listed in the work space. All of the pertinent information will be displayed for that artifact.

Return to the Observations menu for that teacher, and navigate to the Artifacts tab for that module. You'll see the artifact listed there, indicating that the Observations module now recognizes it as being pertinent to that observation.
